  • Shows payment status, due date and days overdue, which makes follow-up easier.
  • Keeps customer, job address and suburb details together for faster admin and fewer mix-ups.

How plumbers use this Excel invoice sheet in the field

Plumbers use this spreadsheet when a job is finished and they need to turn a callout into a proper invoice before the next run sheet starts. A sole trader can bill a leaking mixer tap in the morning, then an urgent hot water replacement that afternoon, with the customer name, ABN and job address already in the same row.

Built for real callout work

The Invoice sheet has fields for labour hours, hourly rate, materials cost, travel fee and notes. That suits the way plumbing jobs actually land: 1.5 hours on site at $110 an hour, $48 in fittings, and a $35 travel charge is easy to total without a calculator on the ute seat.

Useful for small crews and office staff

An office manager in a 4-person plumbing business can use it to keep invoices consistent across staff. If one tech does three after-hours callouts in a week, the sheet gives you one place to record payment status and see which accounts are still open at the end of the week.

Handy before you move into software

It is also a practical stepping stone if you are not ready for full accounting software. You can still produce tidy paperwork for a burst pipe, a blocked drain or a hot water cylinder swap, while keeping the numbers in a format that is easy to check later.

The Australian invoicing rules plumbers need to follow

For plumbing invoices in Australia, the big one is GST. If your turnover reaches $75,000 a year, you need to register, and the standard GST rate is 10%; not-for-profits register at $150,000.

What a tax invoice needs

When the job is taxable and the total is over $82.50, the invoice should show GST separately. It also needs the supplier identity, an ABN, the words Tax Invoice, the invoice date, and a description of the goods or services supplied.

Timing matters for small businesses

Most small plumbing businesses lodge BAS quarterly, while larger businesses above $20 million turnover lodge monthly. If you employ apprentices or office staff, you also need to handle PAYG withholding and report through STP, and pay superannuation at 11.5% by the quarterly due dates.

Records are not optional

The ATO expects you to keep business records for 5 years. A clean invoice trail helps when you are matching payments, defending a customer query or proving what was charged for parts, labour and travel on a job worth $1,250 plus GST.

Where plumbing invoices go wrong and what it costs

The common problem is undercharging. A plumber might bill 2 hours on site and forget the second trip for parts, or leave out a $28 valve and a $40 travel fee, which can knock $68 off the gross invoice before GST is even added.

Missed GST and messy totals

If you do not show GST properly, the customer may query the invoice or delay payment. On a $660 callout including GST, the GST component is $60; if you forget to separate it, your books and your reconciliation can end up out by the same amount.

Late-payment drag on cash flow

Plumbing work is often urgent, but invoices still go unpaid. If you have 12 unpaid invoices averaging $385 each, that is $4,620 sitting in accounts receivable instead of covering fuel, fittings and wages.

Wrong dates and bad follow-up

Another trap is leaving the due date blank or not tracking overdue days. A 14-day account that slips to 35 days can turn a simple reminder into a payment chase, especially when you are already on the next emergency callout.

That same pressure shows up on larger jobs, where a progress claim sheet keeps staged billing and due dates aligned before the payment chase starts.

How to turn this spreadsheet into a weekly plumbing routine

The sheet works best when you use it straight after each job, not at the end of the month. If you invoice every Friday afternoon, you stay on top of cash flow and you are less likely to miss parts, labour or travel on the way out the door.

Make it part of the close-out routine

After the last callout of the day, enter the job while the details are fresh. That is quicker than trying to remember whether the blocked drain was in Parramatta or Penrith, and it keeps the reconciliation easier when the bank feed lands.

Simple habits that keep it tidy

  • Copy last week’s invoice layout and only change the job-specific fields.
  • Use the Rate Card sheet for common charges like callout, travel and hourly labour.
  • Check payment status once a week so overdue accounts do not sit for 30 days unchecked.

Know when you have outgrown it

If you have multiple staff, recurring service plans and a growing debtor list, software like Xero or MYOB will usually be the next step. A spreadsheet is still fine for a small operator, but once you are juggling dozens of invoices a month, proper job tracking and bank feeds save time.

Once you are juggling dozens of invoices a month, proper job tracking and bank feeds save time, while a GST invoice format keeps the billing side consistent.
